Plan the event behind the buffet

For caterers serving guests away from their own premises: keep the menu, guest count, staff, equipment and delivery plan tied to the same event. The details matter long before the first tray leaves the kitchen.

  1. Quote each service clearly

Show food, drinks, servers, hired equipment and transport as separate items, then review quantities and prices for that event.

  2. Prepare kitchen and service together

Record guest count, menu type and date; use menu planning, staff planning and packing lists to coordinate the work.

  3. Know what must come back

Use logistics and delivery documents to keep a written account of equipment sent to the venue and due for collection.

How Sektura helps with everyday work

Example: a buffet at another venue

A client wants a buffet for a celebration. Some guests eat vegetarian food, and the venue has a fixed delivery window.

  1. Clarify the order

Record guest count, menu choice, dietary requests and delivery time before preparing the quote.

  2. Prepare the team

Check recipes and materials, assign serving staff and list crockery and equipment for loading.

  3. Handover at the venue

Confirm delivery and setup with the venue; document what was supplied and what must be collected.

The kitchen and service team have an agreed menu, people plan and equipment list. Changes to guest numbers still need a fresh check.

Getting started is simple

How it works

  1. Create a sample event

Enter a fictional booking with date, guest count and buffet style.

  2. Build the quote

Add food, drinks, staff, equipment and transport as separate services.

  3. Check the handover

Review the menu, staff plan and packing list against the agreed work.

Questions before you start

Can I quote servers and hired crockery separately?
Yes. The catering document flow has separate staff and equipment items. Review quantities, rates and tax treatment for the actual contract.
Does the system make an allergen promise to guests?
No. You can record needs and recipe information, but ingredients, cross-contact and guest advice need professional checking.
Is a deposit fixed for every event?
The sector configuration includes a suggested deposit. The actual agreement and invoice must follow the individual contract.

When details change

If guest numbers, menu or delivery time change, review the quote, ingredients and staffing again.
