Know which room is ready before your guest arrives

For hotels and guesthouses that need reservations, room status and guest billing to make sense at the front desk. Follow the stay from the first booking to departure.

  1. See the stay

When a guest asks to arrive early, reception can compare stay dates, assigned room and booking notes against the occupancy plan. The next shift sees the request without mistaking an unoccupied night for a room ready to enter.

  2. Prepare the room

Tie a cleaning task to the specific room and record when staff finish it. The team still checks the room before the key is handed over; a task status alone is not a physical inspection.

  3. Bill the right party

A traveller may stay while their employer books and pays. Keep those roles and the invoice address distinct in the booking, then review the invoice created from it.

How Sektura helps with everyday work

The room request between checkout and the next arrival

Example from a guesthouse: a traveller calls about an early arrival while the previous guest is still checking out of room 12. Their employer will pay the invoice.

  1. Read the actual booking

Reception checks the stay dates, assigned room and note before replying; an early arrival request is not treated as a confirmed room.

  2. Follow the room turnover

A cleaning task is tied to room 12. Staff complete it after cleaning, and reception checks the room before handing it over.

  3. Keep the payer clear

The travelling guest, booker and invoice recipient are recorded separately, with the company address reviewed before billing.

The next shift can see the request, the room's preparation and the intended billing party without relying on a spoken handover.

Getting started is simple

How it works

  1. Add your rooms

Start with two rooms you actually sell, their numbers and guest limits. For an invoice from a booking, enter either a booking total or a usable nightly room rate; review rooms held for cleaning or repair.

  2. Create a guest

Create a fictional traveller and, if relevant, a separate company record. Check which contact and billing fields your reception actually needs before entering real guests.

  3. Try one stay

Book one sample stay, find it in the occupancy plan and create a room cleaning task. Then try an invoice from that booking and check the recipient and line items.

Questions before you start

Can a company book for a named traveller?
Yes. The booking can distinguish the booker, person staying and invoice recipient. Review the company address before making the guest invoice; the company record does not need a made-up person's name.
How do I know whether a room suits the stay?
Compare dates in the occupancy plan and check the room's capacity. Staff still need to confirm cleaning and any promised early access.
Do I have to retype the whole invoice after checkout?
An invoice can be created from a booking. Check the services, total, recipient and applicable tax details before issuing it.
Can I promise early check-in from the occupancy plan?
The plan shows bookings and room status, but it cannot confirm that cleaning is finished. Check the room and the agreed terms before promising access.

Room ready for guest arrival

A guest arrives today, and the reserved room needs preparation.

  1. Check the booking and agreed arrival time.

  2. Coordinate room cleaning with the assigned team.

  3. Note key handover and any open guest questions.

Arrival details, room status and open items are recorded for the team.

Questions before you start

Can I register companies as guests?

Yes. Choose a person or a company. A company uses its own name, without an invented personal name.

How do I plan room occupancy?

A booking connects the guest, room and arrival and departure dates. Record arrangements in the booking note.

Which details appear on the invoice?

A separate billing address in the booking takes priority. For companies, the company name identifies the recipient.
