An old photograph needs a story before it goes on display

A local history society receiving a print needs to know who brought it, what the writing on the back says, where the original is kept and who may permit a reproduction. The desk keeps archive details, object custody and exhibition plans in separate records; the society checks the evidence and rights.

  1. Keep evidence distinct from assumptions

An archive entry holds title, medium, historical date, description, people and place. An uncertain date belongs in the description as a question.

  2. Know where the print is kept

The object register records inventory number, ownership status, condition and storage location; archive access and rights holder have their own fields.

  3. Plan the display separately

Create an exhibition with title, dates, venue and description. Agree display permission and return of a loan with the right person.

How Sektura helps with everyday work

Example: a borrowed photograph of the old bridge

This is a fictional example. A resident lends a paper print of the old town bridge. Someone wrote “Bridge 1958?” on its back. An exhibition about the riverbank opens in six weeks, but date, photographer and reproduction rights remain uncertain.

  1. Preserve the exact clue

Two volunteers ask about the print's family history and copy the question mark into the archive description. They set its visibility to internal while they investigate.

  2. Record custody and ask about rights

They inventory the physical print with owner status and storage place, discuss return and proposed enlargement, then check who can authorise that use.

  3. Plan without inventing certainty

They open an exhibition record with venue and dates. The description calls the photo a possible loan until the questions are resolved; no caption states 1958 as fact.

The volunteers can find the print and see what remains open. A visibility setting does not give them permission to publish it.

Getting started is simple

How it works

  1. Choose one traceable item

Start with a print whose lender can explain where it came from; record testimony and uncertainty separately.

  2. Create archive and object records

Enter title, medium, description, rights note and suitable visibility in the archive; inventory where the original is kept.

  3. Agree the display and return

Plan the exhibition dates and venue, then confirm caption, image use and return with the people entitled to decide.

Questions before you start

Does the software grant image rights?
No. It records a rights holder and access setting. The society must verify who can permit public use.
Does it automatically attach the photo to an exhibition?
No such automatic link is established. Archive item, physical object and exhibition are separate records; make the intended use clear in the plan.
How should we handle a doubtful date?
Keep the writing and its question mark in the description. Do not turn a tentative note into a certain caption without checking it.

Owning a print may not mean owning image rights

A loan does not establish who took the photograph or may license a copy. Limit access until the position is clear.
